# Privacy Policy

This policy explains what information SYNTH AI LLC ("SYNTH AI," "we," "us") collects, how we use it, and the choices you have. It applies to synthautomation.ai, our chat assistant, our phone lines, and our text messaging programs.

## 1. Information We Collect

**Information you provide.** When you contact us through our website form, chat assistant, phone line, or booking system, we may collect your name, email address, phone number, business name, website URL, and details about your business needs that you choose to share.

**Onboarding and intake information.** If you become a SYNTH AI client, we collect additional information through our intake process to build your service, including business details, your answers to our onboarding questionnaire, and any files or documents you upload (such as logos, brand assets, or reference materials). We also retain your Stripe Customer ID to manage your subscription.

**Automatically collected information.** Standard technical data such as browser type, device information, and pages visited may be collected through our website hosting and analytics providers.

## 2. Text Messaging (SMS)

You opt in to receive text messages from SYNTH AI by checking the consent box on our secure checkout page (Stripe) when purchasing a SYNTH AI service. This is the only opt-in method we use. Once opted in, we may send you: information related to your service engagement (such as demo or meeting links), appointment confirmations and reminders, and follow-up messages related to your inquiry.

Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out, or HELP for assistance.

**No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.** Text messaging originator opt-in data and consent will not be shared with any third parties. Phone numbers and message content are processed by our messaging service provider (Twilio) solely to deliver the messages you have consented to receive.

## 3. Calls and Voice Assistant Data

Calls to or from SYNTH AI — including calls handled by our AI voice assistant, Emma — may be recorded and transcribed for quality, training, and record-keeping purposes. Where recording occurs, it is announced at the beginning of the call; continuing the call after the announcement constitutes consent to recording. If you do not wish to be recorded, you may state so and we will end recording or offer an alternative way to communicate.

When our voice assistant handles a call, we collect the phone numbers involved, call time and duration, call status (answered, missed, transferred), and — where recording is enabled — the audio, a transcript, and a log of the conversation, including the assistant's responses and the outcome (such as an appointment booked or a call transferred to a person).

We use this data to deliver the call and to improve our voice assistants' accuracy and performance over time, in a way that does not disclose one business's or caller's information to another. We do not share call recordings, transcripts, or logs with third parties for their own independent model training. You may request deletion of your call data at any time by contacting support@synthautomation.ai.

## 4. How We Use Information

We use the information we collect to:

- Respond to inquiries and provide requested information, proposals, and demos

- Schedule and confirm appointments

- Deliver, maintain, and improve our services

- Send service-related communications, including text messages where you have opted in

- Process payments and manage client relationships

- Comply with legal obligations

## 5. How We Share Information

We do not sell your personal information. We share information only with service providers who process it on our behalf to operate our business, and only as needed to provide our services. We may also disclose information if required by law, or if SYNTH AI is involved in a merger, acquisition, or sale of some or all of our assets — in which case your information may be transferred as part of that transaction, and we'll notify you of any resulting change to how your information is handled.

## 6. Data Retention

We retain personal information for as long as needed to serve the purposes described above, maintain business records, or meet legal requirements. You may request deletion of your information at any time (see Contact below), and we will honor the request unless we are legally required to retain it.

## 7. Your Choices

- **SMS:** Reply STOP to any message to opt out of texts.

- **Email:** Use the unsubscribe link in any marketing email, or contact us directly.

- **Access or deletion:** Email us to request a copy of your information or its deletion.

## 8. Security

We use reasonable administrative and technical safeguards to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

## 9. Your Privacy Rights

Regardless of where you're located, you can ask us to:

- **Access** the personal information we hold about you

- **Correct** inaccurate or incomplete information

- **Delete** your personal information, except where we're required to retain it by law

- **Opt out** of any communications, as described in Section 7

We do not sell your personal information, so there is nothing to opt out of a sale of. To exercise any of these rights, contact us at support@synthautomation.ai. We may ask you to verify your identity before responding to a request.

**Do Not Track.** Some browsers offer a "Do Not Track" signal. Our website does not currently respond differently to this signal, as there is no common industry standard for how to interpret it.

## 10. Children

Our services are intended for businesses and are not directed to individuals under 18. We do not knowingly collect information from minors.

## 11. Changes to This Policy

We may update this policy from time to time. The effective date above reflects the latest revision. Material changes will be posted on this page.
